Guidelines - how to apply for support

Application
Applications for financial support should be made latest January 31st for arrangements in the time period October 1st - September 30th. Applications should be sent to the Secretary General of SPS, professor Ole Skøtt, who will forward them to the Board of trustees.

The application must contain information about the purpose and size of the meeting, venue and budget, together with the programme and a list of proposed invited participants. In addition, the application should contain information about the planned reviews/original papers that will subsequently constitute the Acta Physiologica symposium issue. It would be useful to know if the organizers have experience in arranging meetings, and to what extent the activity will conform with the symposia so far favored by the Foundation - as briefly outlined above and as follows.

The symposium venue
Most often a conference centre or hotel outside town, where all participants can stay together.

The finances

  1. The invited speakers enjoy a free stay and reimbursement of the cheapest travel, but receive no salary. The travel expenses are covered upon receipt of the original flight coupon or similar documentation. Use the reimbursement form.
  2. The organizers most often pay all expenses up to and during the symposium, with departmental funds, and are reimbursed by the Foundation afterwards. Alternatively, a smaller part of the guaranteed support can be paid to the organizers beforehand. In either case, the final transfer of money depends on the Foundation receiving a signed account of the expenses and income. Should the net expenses turn out to be lower than anticipated, the reimbursement from the Foundation will be reduced accordingly.
  3. PhD students and others at a similar level may receive free accommodation, but have to pay their own travel. Information about the approved symposia and the possibility to participate, should be advertised in the SPS newsletter and homepage. Another way of reaching this group, is for the invited scientists to bring with them representatives from their own department working within the field of the symposium.
  4. The publication of symposia papers (number, length, referee system, deadline for receipt, publication time, etc.) in the Acta Physiologica must be discussed with the Editor in Chief beforehand. If less than the agreed number of papers are delivered or fail to meet publication standards, a corresponding cut may be made in the financial support from the Foundation.
  5. To assure the widest possible distribution and awareness in international circles engaged in the field, the symposium issue of Acta Phsyiologica should be sent to selected persons and to the speakers. A list of recipients (50 or more) may be sent to the Chief Editor.
